This policy explains what personal information RCDC Property Management collects, why we use it, and the choices available to you.

Our approach

We collect information needed to respond to you, provide property and tenant services, protect the website, and meet our legal obligations. We do not sell personal information.

RCDC Property Management is responsible for the personal information described in this policy. This notice is written with the Philippines’ Data Privacy Act of 2012 and its implementing rules in mind. Depending on where you live, other privacy laws may also give you rights.

1. Scope

This policy applies when you visit this website, browse property or equipment listings, apply or inquire about a listing, request a quota, submit a tenant maintenance request, communicate with us, or otherwise use services that link to this policy. It also applies to the limited administrator information processed to operate the website.

This policy does not govern third-party websites or services that we link to. Their privacy practices are controlled by their own policies.

2. Information we collect

We collect the following categories of information:

  • Contact and identity information, such as your name, email address, and telephone number.
  • Property application information, including the property you are interested in and the date and status of your application or inquiry.
  • Equipment rental inquiry information, such as the equipment requested, rental dates, quantity, and any message you choose to provide.
  • Tenant service information, including your property, unit number, maintenance category, description of the issue, entry permission, preferred contact method, and request status. Please do not include sensitive personal information in a free-text description unless it is necessary for us to help.
  • Quote request and communication information, including the details you provide in your message and our communications with you.
  • Technical and security information, such as IP address, browser or device information, session data, request timestamps, and anti-abuse results. For maintenance requests, we may store a one-way hash derived from an IP address for a limited rate-limit window rather than the address itself.
  • Administrator account information, such as name, email address, authentication credentials, session token, IP address, user agent, and login timestamps.

We generally collect this information directly from you and automatically from your browser or device. We may also receive information from property owners, tenants, representatives, or service providers when needed to manage a request or relationship. If you provide information about another person, you should have authority to do so and direct them to this policy.

3. How we use information

We may use personal information to:

  • respond to applications, inquiries, quote requests, and other communications;
  • evaluate property interest and arrange follow-up, viewings, or next steps;
  • check equipment availability and prepare or administer a rental;
  • receive, prioritize, assign, update, and resolve maintenance requests;
  • manage properties, tenants, owners, suppliers, and related business records;
  • authenticate administrators and secure our systems;
  • prevent duplicate, fraudulent, abusive, or automated submissions;
  • operate, maintain, troubleshoot, and improve the website and our services;
  • comply with law, enforce agreements, and establish, exercise, or defend legal claims; and
  • protect the safety, rights, and property of visitors, tenants, RCDC, and others.

We do not use submission data for unrelated direct marketing without giving you an appropriate choice. We do not make decisions that produce legal or similarly significant effects about you solely through automated processing.

5. How we share information

We do not sell personal information. We may disclose only the information reasonably necessary to the following recipients:

  • RCDC personnel and authorized representatives who need it to handle your request or perform their duties;
  • property owners, building personnel, contractors, technicians, suppliers, or rental partners involved in providing a requested service;
  • technology providers supporting hosting, databases, cloud storage, authentication, security, communications, maps, and website operations, subject to appropriate safeguards;
  • Google when Google Maps or reCAPTCHA Enterprise is loaded or used. Google may receive device, browser, interaction, and network information under its own terms and privacy policy;
  • professional advisers, insurers, auditors, and parties involved in an actual or proposed business transaction; and
  • courts, regulators, law enforcement, emergency services, or other parties when required or permitted by law or necessary to protect rights, safety, and security.

Service providers may process information only for the services they provide to us and under contractual or other safeguards appropriate to their role. We may also disclose aggregated or de-identified information that does not reasonably identify you.

6. Cookies and similar technologies

The website may use strictly necessary cookies or similar storage to support secure administrator sessions, preserve essential functionality, and keep the application working. A service worker may cache public website files on your device so pages load reliably. You can clear stored website data through your browser, although disabling necessary cookies may prevent administrator sign-in or other features from working.

Some property pages may embed Google Maps, and the maintenance form may load Google reCAPTCHA Enterprise to distinguish people from automated abuse. These services may set or read cookies or collect technical information when they load. We do not currently use third-party advertising cookies or behavioral advertising on this website.

7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. The period depends on the type of record and may include the time needed to respond to and close a request, administer a tenancy or other business relationship, maintain security and audit records, comply with tax, accounting, contractual, or legal requirements, and resolve disputes or enforce rights.

When information is no longer needed, we delete, anonymize, or securely isolate it in accordance with our retention practices. Backup copies may remain for a limited period until overwritten. We may retain information longer when required by law, a dispute, investigation, or legal hold.

8. How we protect information

We use reasonable organizational, physical, and technical safeguards designed for the nature of the information we process. Measures include access restrictions, administrator authentication, encrypted connections, input validation, anti-abuse controls, and controlled cloud infrastructure. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

If you believe information you provided to us may be at risk, contact us using the details below as soon as possible.

9. Your privacy rights

Subject to applicable law and its exceptions, you may have the right to be informed about our processing; object to or withdraw consent for certain processing; access your personal information; ask us to correct inaccurate information; request erasure, blocking, or restriction; receive portable data where applicable; and seek compensation or file a complaint for a violation.

To exercise a right, contact us using the details below and describe your request. We may ask for information reasonably necessary to verify your identity and protect your information. An authorized representative may submit a request where allowed by law, but we may require proof of authority. We will respond within the period required by applicable law and will explain if an exception prevents us from fulfilling all or part of a request.

You may also file a complaint with the Philippine National Privacy Commission. We encourage you to contact us first so we can try to address your concern.

10. Children’s privacy

This website is intended for adults seeking property, rental, or tenant services. We do not knowingly collect personal information online directly from children without the authorization required by law. If you believe a child has provided information without appropriate authorization, please contact us so we can review and take appropriate action.

11. International processing

Our service providers may store or process information in the Philippines or other countries. Those countries may have privacy laws different from those where you live. Where required, we use contracts and other appropriate safeguards for cross-border processing and remain accountable for personal information under our control.

12. Changes to this policy

We may update this policy to reflect changes in our services, practices, providers, or legal obligations. We will post the revised policy here and update the date at the top. If a change is material, we will provide additional notice when required by law.
